How filters work in the new Webnode webmail


In this guide, you will learn how to set up filters in the new Webnode webmail interface. Filters are rules that your mailbox will follow, such as sorting messages into folders, forwarding emails, adding flags, and more. 

Before setting up the filters, you need to create email mailboxes in the Webnode system

How to Add and Configure a Filter: 

To add a filter, click on the gear icon on the left panel, then select Filters and continue by clicking Create

Here, you can enter the Filter Name and enable or disable it. 

In the Scope section, you can choose whether the filter applies to All messages; matching all of the following rules or matching any of the following rules. 

If you select match all rules or match any rule, a Rules section will appear. 

Here, you can define the rule criteria, such as recipient, subject, date, etc., and set the condition, for example, whether the subject contains a certain word, the date is older than another date, and so on. 

You can add rules using the plus button or delete them with the trash icon

After setting the rules, you need to define the filter actions. Here’s a description of available options: 

Move message to: Select the folder where the incoming email will be stored. The folder must be created in advance. 

Copy message to: Select the folder where a copy of the incoming email will be saved (the original remains in the inbox). 

Redirect message to: Enter the recipient to whom the incoming email will be automatically forwarded. 

Send message copy to: Enter the recipient who will receive a copy of the incoming email.

Discard with message: Reject the incoming email that matches the filter and send a message to the sender. 

Reply with message: Automatically reply to the incoming email. This can be used for out-of-office replies. 

Delete message: Define rules that ensure specific emails are automatically deleted. 

Set flags to the message: Define existing flags that will be applied to emails matching the filter. 

Add flags to the message: Add flags to the filtered emails. If another filter has already been applied, the absence of a flag here will not overwrite the previous marking. 

Remove flags from the message: Specify flags that will be removed from emails matching the filter. 

Set variable: Define a filter variable that follows specific rules. 

Add header to the message: Insert text into the email header. 

Remove header from the message: Remove text from the email header. 

Send notification: Enter an email address to receive a notification when a filtered email arrives. 

Keep message in inbox: Direct the incoming message to the inbox if another rule would otherwise move it elsewhere. 

Stop evaluating rules: Stop evaluating additional rules. 


Don't forget to save the filter using the Save button.
